Chat Moderator Guidelines

Purpose of the Chat Room: The chat room is designed to facilitate communication between participants during the streamed Business Committee Meeting. It is an optional tool for participants to use to discuss the meeting content, ask questions, or provide feedback.

Access and Participation: The chat room will be accessible to all participants who virtually attend the public meeting. Participants are required to use their real names to identify themselves in the chat room. Anonymous participation is not allowed.

Professional Conduct: Participants must engage in professional and respectful conduct at all times. Offensive, abusive, or discriminatory language or emojis will not be tolerated. Participants who engage in such behavior will be removed from the chat room.

Use of Chat Room: Participants should limit their use of the chat room to meeting-related communication only. The chat room should not be used for personal or unrelated communication. Participants are encouraged to ask questions, provide feedback, or make relevant comments during the meeting.

Moderation: The chat room will be moderated by an appointed moderator who will monitor the chat room for compliance with these policies and procedures. The moderator may remove any content violating these policies and procedures and may remove participants violating the policies.

Technical Issues: The moderator will assist with any technical issues that may arise during the meeting. However, the Business Committee and its members are not responsible for any technical issues that may occur, including the loss of chat room messages.

Enforcement: These policies and procedures will be enforced strictly. Participants who violate the policies and procedures may be removed from the chat room.

Review: These policies and procedures will be reviewed regularly to ensure that they remain relevant and effective. Changes to the policies and procedures may be made at any time, and participants will be notified of any changes before the meeting begins.

Asking Questions: Participants who wish to ask a question of the Business Committee must do so using their real name and on their own behalf. The moderator will not ask questions on behalf of participants unless there are extenuating circumstances. This policy is in place to ensure transparency and accountability in the meeting.

Procedure for Asking Questions: Participants who wish to ask a question must state in the chat that they have a question. The participant will then be placed in a queue.

Answering Questions: The Business Committee will make every effort to answer questions that are posed in the chat room, time permitting. However, the Business Committee reserves the right to respond to questions at a later time if the meeting agenda does not allow for a response at the time the question is asked.

Discretion: The moderator reserves the right to use their discretion in deciding whether a question is appropriate for the meeting or whether it is relevant to the agenda. Questions deemed off-topic or irrelevant to the agenda may not be relayed to the Business Committee.

Respectful Communication: Participants are expected to ask questions in a respectful and professional manner. Any questions that are deemed to be offensive, abusive, or discriminatory will not be relayed to the Business Committee, and the participant may be removed from the chat room.
